How can you help me manage my building assets?
Sara has taken over the role as new facility manager for a rural healthcare organization. Saraand her team are responsible for all assets located within the primary hospital and three clinic buildings that support the community.
Sara discovered that historical records of equipment and systems were not very accurate or reliable. Most equipment records were in a printed format with service records in both printed and emailed versions, making it difficult to know what was current and what was not. To be successful at any level of planning around capital improvements and maintenance, she would need to validate her records and create an environment in which everyone who managed the equipment would be able to have common access. On a corporate level there were reporting tools in place but nothing that could be used for day to day operations by her team. Sara reached out for help to a service she had been referred to, that specialized in helping facility managers make improvements to their asset tracking and records using a cloud-based Asset Management Platform.
In partnership, a strategic plan was developed in which they could validate all existing equipment records and bring them in to a web-based program that would give common access to her team to use in their daily work flow. The new digital format allowed Sara to have an accurate record of all building systems and equipment that she was responsible for. For her first project, Sara chose to document the rooftop equipment of the 80,000 square foot primary hospital as part of her gathering data for their 10-year Capital Planning process. There were over 40 pieces of equipment that had been installed and updated over the years that supported the primary care systems of the hospital.
As a result of Sara’s initiative and investment, she was able to complete her documentation for the 10-year plan on time and create a digital environment to better help her team be more efficient and accurate in record keeping. All service and equipment records were now in a common place with historical records to support their services. The reporting tools available in the Asset Management system made it easy for her to communicate and share information with stakeholders.
