How can you help me improve the records of my building assets?
Don has taken over the role as facility manager for his organization. As part of his new role, Don is responsible for all theassets located within the building, including maintenance and capital budgeting. The facility he was assigned to had just finisheda remodel project of one section of the plant, giving him a mix of the newest of technology and equipment well within its useful life cycle. One of the first tasks Don was asked to do was set up a preventative maintenance plan for his team and service providers to follow. When Don began building his plan, he started searching historical records, including O&M manuals of existing equipment as well as the documentation of all of the new equipment.
Behind his office was the room full of plans and binders ofinformation that served as the library for everything in the plant. As he began looking through documents that had accumulated over the years, he found that many of the records did not apply anymore, and much of what was needed for the new equipment was not even there. As a part of his discovery process, Don also interviewed his service team for feedback as to how to make things more efficient and reduce cost. In many cases, repair times took longer due to searching for equipment information, and instanceswhere contractors worked on the operational equipment were noted.
Don reached out to a partner who specialized in helping organizations make improvements to the equipment documentation. This new partner helped Don create a digital system that allowed access to all important documents and plans needed to service and repair their equipment. The implementation of NFC tags made those records more readily available from multiple devices such as a cell phone, tablet or desktop, and gave internal and external service partners a way to validate that they were working on the right equipment and systems.
Don’s initiative to improve his asset records allowed him to validate what assets were the correct ones to be worked on and provide stakeholders access to documents that they needed to do good work where they needed them. The result of this initiative increased manpower efficiency and reduced the cost of service and repair.
