Sara discovered that historical records of equipment and systems were not very accurate or reliable. Most equipment records were in a printed format with service records in both printed and emailed versions, making it difficult to know what was current and what was not.
To be successful at any level of planning around capital improvements and maintenance, she would need to validate her records and create an environment in which everyone who managed the equipment would be able to have common access. On a corporate level there were reporting tools in place but nothing that could be used for day to day operations by her team.
Facility Manager Bob
Bob has taken over the role as a new facility manager for his organization. As part of his new role, Bob is responsible for all assets located within the building including maintenance and capital budgeting. Shortly after Bob started with his new role, he found that historical records of equipment and systems were not very accurate or reliable.
Bob found that equipment had been replaced it had not been updated in historical record spreadsheets, causing him to be off in his capital planning forecasts. His maintenance staff brought awareness that the lack of inventory of critical repair parts was causing extended downtimes and internal customer complaints.
